What is 2MuchTalk?

2MuchTalk is a simple, powerful, professional meeting management software tool. It enables you to learn and manage the true cost of meetings. It will improve your efficiency, whether you’re a team leader, a manager, or if you run a small or medium size business. It is the first truly accessible, truly easy-to-use, professional meeting application. It will help you reduce almost any meeting cost. Business meeting planning costs can be planned, run and reviewed. You can think of it as a meeting cost calculator to make meetings more efficient and cost-effective. In a word, it will change your mind. It will shift your thinking from planning meetings on the basis of time, to a basis of costs.



How does 2MuchTalk differ from other meeting software?
It's better because other meeting calculators and software are too simplistic. They only address surface costs. They don't account for such things as people’s travel time and arriving and leaving at different times. The result is they don’t improve meetings or meeting planning. 2MuchTalk fits a niche unfilled by any other meeting planning tool. Above all, it doesn’t try to do too much. Instead of trying to satisfy everyone from Ford to Fred the Freelance, it's a meeting planner that makes professional meeting management accessible to all businesses.

2MuchTalk is free and is for meetings of up to six people. 2MuchTalk+ costs £24 and is for meetings of up to 25 people. It also has more features: you can select pounds, euros or dollars as defaults; from the Review function you can grab and print meeting information, including costs, for reports and analysis.

How do I download 2MuchTalk?
2MuchTalk is single-user meeting software so it cannot be shared on a network. However, it is free to download and therefore each user can download their own version to their individual laptop or PC. Download the 2MuchTalk meeting software online




Downloading and installation
How large is the program? Approximately 8Mb, including the User Manual.
Do I have to be on-line to run the program after downloading it? No – the program is completely standalone and runs without a browser or an internet connection.
Is any training or special knowledge needed to use 2MuchTalk? None whatsoever, it is highly intuitive and simple to use
Can I run 2MuchTalk at the same time as other applications? Yes, you launch it from the desktop icon and it runs under Microsoft Windows with whatever other programs you have running.
Can I use this on an Apple Mac currently and if not, when then? No, it would only run under a Windows emulator. It is packaged as an .exe file rather than a Flash file that would work in a Mac browser. A Mac version may follow in response to demand.
On a PC are there any operating system incompatibilities I need to watch out for? We are not aware of any incompatibilities with Windows operating systems. It is a very ‘low demand’ application.


Using 2MuchTalk
How many people can I invite to a meeting I am planning? A maximum of 6 attendees for the free version and up to 25 for the extended version (2MuchTalk+).
Is there a limit to the number of attendees, meetings, etc. I can create in the program? The program database has been designed to allow thousands of meetings, attendees, employers and locations to be created.
What export format is the meeting summary data held in? The file written by the program is in CSV format, with labelled headers for each column. This format is widely supported for directly importing into spreadsheets and databases for analysis and reporting.
Some of the people I added as attendees at a meeting didn’t receive the email invitation the program generated. Why not? To receive an email invitation, an attendee’s email must be added when you create their profile.
I have switched currency from £ to $ but all the displayed costs have stayed the same. Why is this? The ‘change currency’ function simply displays a different currency symbol. It currently does not convert costs between currencies.
Do I have to know someone’s exact salary to create an Attendee profile for them? This is a sensitive area and often, when inviting people who do not report to you, you probably won’t know their salary. But you have to enter a figure of some kind so use an educated guess. You can always return and edit their profile at any time.
Sometimes we have consultants who attend meetings, as well as employees. How do I enter their salary cost? When you create a new attendee profile, you can select either ‘Salary’ or ‘Hourly rate’ for the way they are paid. For a consultant who charges you by the hour, simply enter this figure in when prompted.
What do I do if the costs of running a meeting change between planning it and holding it? For example, if I no longer need to pay for lunch, or if someone unexpectedly has to travel 3 hours by train to attend? You can edit all of the costs of a meeting which you originally entered into ‘PlanMeetings’ weeks earlier right up to the moment you click ‘Start’. You do this directly on the ‘RunMeeting’ screen. This includes altering the facility costs (room hire, catering and equipment rental) as well as the travel and accommodation costs for each attendee.
We have several different teams and departments and I would like to ‘group’ attendees, but 2MuchTalk seems to make me put them all under one employer . Can I get round this?

Yes you can. Simply create separate Employer profiles for each team, department or site in your company. Then when you create a new attendee profile, just choose their department, team, etc. from the drop-down list.

This is especially useful for selecting a specific group of people to invite to a meeting – just use the ‘filter by employer’ button and pick their team/department from the list.

Can I make 2MuchTalk run ‘full screen’? The 2MuchTalk Dashboard is a fixed-size program (1024 x 768 pixels) and this can be minimised using the button at the top left. When you are running a meeting you have the option of either filling the screen with a dynamic display of the true meeting cost or reducing the meeting panel to a much smaller size which you can move around the screen.
I often run PowerPoint presentations from my laptop. How can I make sure 2MuchTalk stays visible as a reminder of the meeting cost?

2MuchTalk has a button which locks it on top of any other application that is running. You can turn this on and off.

When the minimised cost panel is displayed during a meeting, this is forced to be ‘always on top’.
Do I have to stop 2MuchTalk during a meeting to tell it someone has arrived or left? No you don’t. You just click on their name to flip their status between ‘present’ and ‘not present’. You can also change the travel/accommodation cost of an attendee arriving after you’ve started the meeting.
I had planned a meeting for today but now have to postpone it. Do I have to edit the meeting details to put in a new planned date?

No you don’t. Just leave the planned meeting as it is.

When you are ready to run the meeting, it will appear in the list of planned meetings and you just select it and click Start. The meeting summary screen will show both the planned date and the actual date it was held.

What information is exported in a CSV file in the extended version, 2MuchTalk+?

All the information that is displayed in the meeting summary screen is exported in CSV file format. This includes:

  • Meeting title
  • Location
  • Planned and Actual date held
  • Planned and Actual Start time
  • Planned and Actual Duration
  • Meeting Objectives (up to 4)
  • Meeting Chair Person
  • Attendees, with employer name and total time they were each present
  • Planned and Actual Meeting Cost
  • Room hire, Catering & Equipment Costs
  • Total Attendee costs

What do I get with the extended version?

2MuchTalk+ also provides

Export meeting summaries in CSV file format
Do I need to uninstall 2MuchTalk before downloading and installing 2MuchTalk+? No. The new version will overwrite the existing program, provided you install it to the same location.
Will my database of meetings, attendees, etc. be preserved when I install 2MuchTalk+? Yes. All the information you have built up will be preserved and used by 2MuchTalk+ provided you install it to the same drive and folder as the previous version.
If I did uninstall 2MuchTalk (or 2MuchTalk+) would I lose all my data? No. Uninstalling the program does not delete the database. If you re-install 2MuchTalk in the future, it will use your existing database.
After using the standard version for a while, I bought 2MuchTalk+, downloaded it and installed the program. But none of the meetings, attendees, etc. I had created in the standard version appear when I run it. Why not? The extended version must have been installed to a different directory than your original version, where your database still exists. This file is called ‘2MuchTalk.mdb’ and will be in a sub-folder called ‘\resources’. Your extended version of the program should be uninstalled, then re-installed in the folder one level up from wherever you found the old ‘\resources’ folder. The new version will then find your database and all your data will appear when you run 2 MuchTalk again.
